Ninja Van streamlines financial processes with Workday

Ninja Van Group has adopted Workday Adaptive Planning to centralise finance and operations data while concurrently speeding up its budgeting processes.

This investment comes on the back of tech-enabled express logistics company’s continual growth in the region and the introduction of new services such as B2B restocking and cold chain delivery.

Ninja Van Group’s operations have grown significantly since its early beginnings in 2014 when the company only had one delivery van. Currently, the company operates in six markets across Southeast Asia and delivers around 2 million packages daily.

The company additionally has over 50,000 employees, including delivery personnel. As the company rapidly scaled in recent years, manually managing financial planning on spreadsheets became unsustainable due to its time-consuming and error-prone nature.

Additionally, the company struggled to gain a holistic view of its financial health, a challenge compounded by siloed IT systems with fragmented data that hindered comprehensive analysis.

Justina Sim, country head of Ninja Van Singapore, said that aggregating, reconciling, and reporting data was previously a time-consuming and error-prone process, limiting the depth of analysis their financial planning and analysis (FP&A) team could perform. The lack of standardised data formats made regional consolidation even more challenging.

“Now, with Workday’s integrated approach, we have a single source of truth for financial data,” said Sim. “This empowers our teams to make informed, data-driven decisions that directly support our strategic growth initiatives and enhance our competitive advantage.”

By streamlining data management into a unified platform embedded with Workday AI, Ninja Van Group has access to financial data that is consistently formatted and readily accessible, enabling for faster, more accurate reporting and deeper analysis.

The ability to standardise templates for regional consolidation enables the FP&A team to work more efficiently and make more informed decisions across markets. Following the deployment of Workday Adaptive Financial Planning, Ninja Van Group is able to standardise data collection from various sources and store it in a shared repository.

This provides employees with a single source of truth, helping to ensure the most up-to-date and accurate information for the FP&A team’s analyses. Although the new platform required some adjustments to existing practices, the learning curve was straightforward.

Workday’s interface, which avoids the need for complex programming or formulas, enables reports to be easily generated through drag-and-drop functions. Employees also benefit from the ability to produce automated reports, which can be efficiently shared with stakeholders.
