Inside Lexitas’ AI transformation with Boomi

Lexitas has acquired more than 40 companies since 2020, but it cannot move all of their customer databases onto its main platform at once. For a litigation services provider handling court and other legal documents, that leaves the company extracting, reconciling, and transferring data across numerous separate systems.

To manage that work, Lexitas uses Boomi for AI and non-AI processes intended to reduce the time, labour, energy, and cost involved. Speaking at Boomi World 2026 in Chicago, Lexitas CIO and CISO John Baker, as well as Vice President of Corporate Applications John Clements, explained how the company is integrating acquired systems and applying AI to labour-intensive accounting processes.

Reconciling inherited customer data

Medical record retrieval and storage for law firms, insurance companies, and corporations is one of Lexitas’ largest business lines. Baker said the records for a single person can run to hundreds of thousands of pages. Multiplied across thousands of people, the volume becomes substantial.

Lexitas also inherited customer databases and related datasets that it could not integrate into its main platform all at once. The data therefore remained in separate systems.

The company thus needed a way to extract data from and transfer data into those systems, leading to the decision to work with Boomi.

“We needed that integration capability and Boomi’s DataHub tool to cleanse the data,” Baker explained. “Let’s say we acquired six companies that had the same customer. They all had their own systems, so that customer had a different number in each system. How do you connect those records and establish that they refer to the same customer despite the different numbers? Someone might also have abbreviated part of the name in one system but not another. How do you reconcile that? DataHub was a great tool for meeting that need.”

Lexitas encountered two types of complexity in its master data management, Clements noted: the volume of data and the presence of an internally built system that did not follow a standard format.

“Boomi helped us with both,” he said. “We needed to integrate with non-standard systems, including custom-built systems rather than third-party products. Boomi can also integrate with something as simple as a Google spreadsheet. From a non-AI and integration perspective, it has been useful for coordinating those integrations and handling the variations introduced by different acquisitions.”

Baker also described how Lexitas uses Boomi DataHub to consolidate customer data across its business lines.

“It has improved data integrity and made our operations easier to manage as we grow,” he said.

Separately, Lexitas has already retired some legacy systems and completed the corresponding migrations to its main platforms, Baker noted. The remaining migrations will take time, with Boomi supporting the integrations required during the transition.

Testing agents in accounting

Lexitas had already used AI for several years for tasks such as document review when it began considering what other processes it could streamline with agentic AI.

After Boomi made Agentstudio, including Agent Control Tower, generally available at Boomi World 2025, Lexitas saw an opportunity to manage and govern AI agents from a single location.

“We had the Boomi team come on-site and conduct a workshop with us around a couple of these use cases. Our Chief Accounting Officer is very proactive about using systems and data to improve accounting processes, and she’s just very strategic in that response. We also involved other business unit leaders and the IT group,” Baker recalled.

Before moving the AI agents beyond the pilot phase, Lexitas required them to meet three criteria: accuracy, cost-effectiveness, and speed.

“We need to know whether these agents will meet the business requirements accurately. Are they cost-effective? We can hire Boomi to build an agent for us, but that’s only the upfront cost. Finally, some of our manual processes take people a long time. Agents ought to complete them much faster, so we also want to assess their speed,” Baker emphasised.

In February 2026, Lexitas began by deploying AI agents for its lockbox and cash application processes.

“Every day, the bank sends us lockbox data covering all the payments received from our clients. The file averages roughly 2,500 lines. A small accounting team has to match those payments to the relevant invoices. A payment may have no invoice number, or a particularly large payment may cover multiple invoices. In those cases, someone has to research various systems, retrieve invoices, review relevant emails, and check the accounting or ordering system to determine which invoices the payment covers,” Baker said.

With agentic AI, the system can ingest the data and quickly identify a client name, then search different systems and emails for a matching amount or combination of recent invoices, he added.

Extending the use of agents

Lexitas next plans to extend the lockbox deployment to a second bank, focusing on credit card payments.

“What we’ve done so far with Boomi has prompted people to consider other possibilities. The different accounting teams are now rethinking how they handle vendors and vendor payments. Other groups outside accounting have also seen the work and begun identifying more potential uses. It’s a learning process,” Baker said.

Beyond accounting, teams across Lexitas are considering how agents might support their respective functions.

“Could agents help marketing and sales research clients and prospects or draft communications? Could they handle routine help desk or self-service requests, such as HR questions or an employee asking, ‘Where can I get another copy of my tax documents? I’ve forgotten the link.’ Simple but time-consuming tasks currently handled by people could be simplified,” Baker remarked.
